Vachon Agency Communication Policy

1. Purpose and Scope: 

The purpose of this policy is to establish guidelines and procedures for text (SMS) and multimedia messaging (MMS) as well as the operation of the Vachon Agency website (www.vachonagency.com) to comply with new Application-to-Person (A2P) messaging requirements and approval processes. This policy applies to all employees, contractors, and agents of the Vachon Agency who are involved in communication activities.  Messaging data and Texting rates may apply.


2. A2P Messaging Requirements: 

The Vachon Agency recognizes the importance of maintaining compliance with A2P messaging standards. All text and multimedia messaging activities conducted on behalf of the agency must adhere to the guidelines set forth by regulatory bodies governing A2P communications. This includes obtaining necessary approvals and ensuring transparency and user consent. 


3. Approval Process: 

Any A2P messaging campaigns or initiatives must be approved by the designated communications manager or a designated representative before implementation. The approval process will include a review of the content, messaging frequency, and compliance with A2P regulations. 


4. User Consent: 

Prior to sending A2P messages, explicit consent must be obtained from users. The consent process should clearly inform users about the nature of the messages they will receive, frequency, and any associated charges. The Vachon Agency is committed to maintaining transparency and respecting user preferences. 


5. Content Guidelines: 

All A2P messages must adhere to content guidelines to ensure professionalism, clarity, and relevance. Content should be free from offensive language, misleading information, or any form of discrimination. Regular reviews will be conducted to ensure ongoing compliance. 


6. Website Policy (www.vachonagency.com): 

a. Content Management: 

The Vachon Agency website will feature accurate and up-to-date information about the services offered, team members, and relevant industry updates. 

Regular content reviews will be conducted to ensure compliance with legal and regulatory standards. 

b. User Privacy: 

The website will have a clearly defined privacy policy outlining how user data is collected, stored, and used. 

Users will have the option to opt in or out of any data collection activities, and their preferences will be respected. 

c. Security Measures: 

The Vachon Agency is committed to implementing robust security measures to protect the website and user data against unauthorized access, breaches, or any malicious activities. 


7. Monitoring and Reporting: 

The Vachon Agency will implement regular monitoring mechanisms to ensure compliance with A2P messaging requirements and website policies. Any deviations or incidents will be promptly reported to the designated compliance officer for investigation and resolution. 


8. Training and Awareness: 

All employees, contractors, and agents involved in communication activities will undergo regular training sessions to stay informed about A2P messaging regulations, website policies, and any updates or changes in communication practices. 


9. Enforcement: 

Failure to comply with this policy may result in disciplinary action, including but not limited to verbal or written warnings, suspension, or termination of employment or contractual agreements. 


10. Review and Revision: 

This policy will be reviewed annually or as needed to ensure its effectiveness and relevance. Any necessary revisions will be made promptly to align with evolving regulatory standards and business needs.
